Presentation Guidelines

Registration

All presenting authors (oral and poster) will be required to register for the Pacific Oceans Pacific Climate Change Conference in order to ensure their abstract(s) is included in the final programme. Registration is open so please take the time to register

To ensure your abstract is included in the programme, the presenting author needs to be registered by 31 August. Otherwise, your presentation may be removed from the programme.

If you decide to withdraw your abstract, or need to transfer the presenting author to another attendee, please email popccc@theconferencecompany.com as soon as possible so we can adjust the programme accordingly. 


ORAL PRESENTATIONS

Speaker Presentations

Please allow at least 2 minutes within your presentation time for questions at the end. Standard talks will be 15 mins.

You will need to bring your presentation on a USB to the dedicated Speaker Preparation area at least 3 hours before your presentation. The AV team will load your presentation onto the Meeting PCs and return your USB stick. As a backup, we recommend you bring two copies on separate memory sticks and bring any video or audio files in your presentation as separate files.

Each session room is equipped with standard presentation technology, and you will have the choice of a lectern microphone or handheld microphone. The venue is also set up for Mac users.

Slide Setup

Please save your slide setup in 16:9 ratio (widescreen) to fit the projection being used. Please use Powerpoint for your slides.

POSTER PRESENTATIONS

  • Posters will be on display in the Exhibition Hall from 09:30 on Tuesday, 15 September to 15:00 on Thursday, 17 September. 
  • You are required to hang your poster from Monday 14 September or between 08:00 to 09:30 on Tuesday 15 September. Poster Board numbers are not being distributed. Please hang your posters in one of the available poster boards in the Exhibition Hall.
  • All authors are responsible for removing their posters from the poster hall. Please do not remove your poster until at least 13:00 on Thursday, 17 September. All posters must be removed by 16:00hrs on Thursday 17 September. All uncollected posters will be discarded. 

Poster Size

  • We recommend your poster is printed on A0 – 1189mm x 841mm (46.8” x 33.1”)
  • Each poster board is limited in size to 2000mm high x 1000mm wide (78” x 39”) and portrait orientation is required. Larger boards cannot be accommodated. Failure to adhere to these specifications may result in your poster being removed from display.
  • When you arrive, we will provide you with ‘push pins’ or Velcro to affix your poster to the display board, or you are welcome to bring your own Velcro.

Guidelines and Best Practices for Poster Presentation

  • Do not laminate your poster so it can be recycled if you do not plan to keep it.
  • Put your abstract title, and final abstract number at the top of the poster.
  • Make authors’ names and contact information clearly visible.
  • Make sure diagrams or charts can be read from 2 meters away.
  • Organize the poster so it is clear, orderly and self-explanatory.
  • Group similar ideas together.
  • Label elements as I, II, III; or 1, 2, 3; or A, B, C.
  • Avoid clutter (e.g. too much text).
  • Include key details such as background, results, and conclusion.
  • Typography: Use a consistent type-style throughout. Ensure your text is large enough to be seen from a distance. A 22mm x 30mm sheet photo statically enlarged 50% makes text readable from 1.5 metres.

We encourage all poster presenters to upload the final version of their poster as a PDF for inclusion in the Conference App. A personalised link to upload your poster will be provided at a later date.
